The formula

Labor hours on surface = sq ft ÷ your sq ft per labor hour (that surface) Drive hours = round-trip drive minutes ÷ 60 × crew size Labor cost = (labor hours + drive hours) × hourly labor rate Direct cost = labor cost + chemicals & supplies Price (costs + margin) = direct cost ÷ (1 − target margin %) Price (rate per sq ft) = sq ft × your $ per sq ft (that surface) Price for this job = the higher of that price and your minimum job charge Effective price/sq ft = price for this job ÷ sq ft Margin on this job = (price − direct cost) ÷ price On-site time = labor hours ÷ crew size

Margin is profit as a percentage of the price, not a markup on cost. A 30% margin means $0.30 of every $1 you charge is left after the direct costs above. If you price by the square foot, the estimator still works out your cost so it can warn you when a price falls below cost or below your target margin.

Worked example

A 2,000 sq ft house wash (siding) with the placeholder speed of 400 sq ft per labor hour is 5.0 labor hours. With a crew of 2 and a 30-minute round trip, add 1.0 drive hour (0.5 h × 2), for 6.0 paid hours. At $22 per person-hour that’s $132 in labor. Add $35 in chemicals and supplies for a direct cost of $167. At a 30% target margin: $167 ÷ 0.70 = $238.57 for the job, which is above the $150 minimum. That’s an effective $0.12 per sq ft ($238.57 ÷ 2,000 = $0.1193), with about 2.5 hours on site for the crew. For comparison, the placeholder siding rate of $0.25 per sq ft would price the same job at $500.00, a 66.6% margin.
